Profit and loss by product line

Costs that serve both lines — hosting, the domain, accountancy — sit under Shared rather than being divided by a rule, so the three columns add up to the company total exactly and nothing is invented in between.

Each owner's position

Everyone carries an equal fifth of total expenses. A positive figure means the company owes that person; a negative one means they owe.

Enrolment fees appear here automatically once a registration is marked paid in the trainer dashboard. Add anything else by hand.

Career Portal

Everyone who has registered for the CV directory. Approving a profile and confirming a payment are separate: a listing only goes live when both are done. Confirming a payment is what puts the fee into the Career Portal line of the P&L — the net fee, never the VAT.

Website enquiries

Everything sent through the contact form on the website. Mark one as handled once you have replied, so nobody answers it twice.

Course registrations

Everybody who has filled in the enrolment form on the website, paid or not. Mark one contacted the moment you have reached them on WhatsApp or by email — that is what clears the badge, so nobody sits here waiting. Setting the status to paid or enrolled is what books the enrolment into the Revenue tab; you do not need to add it there as well.

The fewest payments that leave everyone square on out-of-pocket expenses.

Settle everything to zero

For when the partners have agreed a total and already shared it equally between themselves outside this system. It writes one expense entry per owner for their own share, so every position comes to zero and nobody owes anybody. The entries it replaces are archived, not deleted — they stop appearing in the P&L, they do not stop existing.

Record a payment

Log each transfer as it actually happens — one at a time, on the day it was paid. Every payment moves both people's positions, so the figures above always show what is still outstanding.

Close a period and lock it

Optional. Once everyone agrees a period is fully settled, lock it — expenses and payments dated on or before that date can no longer be edited, so agreed figures cannot move afterwards.

Your own position in Genesis, in a form another app or assistant can read without guessing. Copy a block and paste it in. The date range at the top of this page applies — leave it on “All time” for your full position to date.

Let the app fetch it itself

An API key lets your finance tool pull these figures on its own, instead of you pasting them. Keys are read-only: a key can read your position and the company totals, and can do nothing else — it cannot add an expense, change a settlement, or touch anyone's account.

A key is shown once, when you create it. It is stored only as a hash, so it cannot be looked up again. Lose it and you revoke it and make another.

ADOC course schedule

A batch opens every fortnight and runs four sessions over two weekends. Student names, email addresses, attendance, exam scores and certificates live here and nowhere public — the address is what their login will be built on when student accounts are added.

Four sessions of an hour and a half, 17:30 to 19:00 — Saturday and Sunday, then the Saturday and Sunday after. Batches open a fortnight apart so one never overlaps the next. Batches already on the calendar are left alone, students and all, so this is safe to run again to extend the schedule.

Academy — what we teach from

Everything a trainer needs for a session, filed by the session they need it for. Decks, the reviewed copies with comments on them, the practicum, and whatever the last person to teach it wrote down afterwards. It is not student-facing: speaker notes, marked-up drafts and the practicum key are all in here, which is why it sits behind this login with the money.

Who can sign in

Closing an account stops that person signing in. It does not remove them from the books: every expense they paid and every settlement they were part of stays exactly as it is, and the expense split stays five ways. It can be reopened.
